Position Summary:

Steward Medical Group is seeking an Executive Assistant who will thrive in a fast-paced, growing organization. The position offers the suitable candidate the opportunity to engage with Physicians, Senior Leadership, and employees within Neurosurgery across the organization. A successful candidate will bring significant experience and administrative skills to the team as evidenced by strong leadership characteristics, experience working on multidisciplinary teams, and employment track record. Responsibilities and Essential Functions:

  • Provides administrative assistance to the division leadership. This would include taking charge of CEU, Reimbursements, Staff Meetings and other tasks as necessary.
  • Performs duties and provides assistance according to FPP policy and procedures, as well as any directives from the Chief as well as the Practice Manager.
  • Provides administrative support to the Chief, department manager, and scientist in the group. Interacts with professional societies and governing body of the field.
  • Functions as the office lead receiving visitors and local and visiting staff, maintaining orderly, courteous, neat office environment.
  • Answers and screens incoming calls of the Chief/maintains organizational calendars for the Chief; Distributes pertinent mail and emails; Additional duties as assigned.
  • Schedule’s meetings and makes necessary arrangements including room bookings, food service, materials distribution, notification, confirmation, etc.
  • Completes requisitions, purchase orders and invoices and processes according to Steward standards. Processes payments and maintains a billing log.
  • Coordinates logistics for outside conferences and seminars, both national and internationally.
  • Coordinate interview/onboarding processes of Clerkship rotations & Fellowship program.
  • Ensures confidentiality of all materials generated.
  • Maintains current files of all essential physician documentation, e.g., TRACO; licensure.
